Description:
CSPNJ, a mental health nonprofit agency, is looking for a full-time Administrative Specialist for the Clifton Office. Under the direction of the Regional Coordinator, the Administrative Specialist will perform a variety of administrative duties that support the functioning of the agency including supporting staff, receiving the public, assisting persons' served, assisting with the upkeep of the agency vehicles, and answering telephone calls.
HIGHLIGHTS
- Provides professional reception and administrative support services, serving as the first point of contact for visitors, persons served, and stakeholders. Answers and directs incoming telephone calls, provides information and assistance as required, and accurately records and relays messages. Greets and assists visitors in a courteous and professional manner, ensuring a welcoming and organized office environment.
- Maintains the cleanliness and presentation of reception and common office areas. Performs a range of administrative duties, including scanning, collating, binding, photocopying, faxing, and distributing documents to support daily business operations.
- Responds to routine inquiries and requests for information in person, by telephone, and through email correspondence, providing accurate and timely assistance. Addresses questions regarding services, programs, and organizational procedures, ensuring a high standard of customer service.

Hourly Rate:$19.23 - $21.63based on education & experience
Requirements:
- Minimum qualifications include a High School Diploma or GED and two (2) years of progressively responsible administrative experience, or a Bachelor's degree in Business, Mental Health, Human Services, or a related discipline.
- Excellent customer service skills, with the ability to respond to inquiries, resolve concerns, and provide a welcoming and professional experience for clients and visitors.
- Excellent organizational, planning, and time management skills, with the ability to prioritize tasks, manage changing priorities, and ensure the timely completion of assignments.
- Excellent organizational and data skills to manage large volumes of information.
- Communicate effectively at all levels in a diverse and fast paced working environment.
- Strong proficiency in Microsoft Office applications and office technology, with the ability to efficiently manage electronic records, correspondence, data entry, and document preparation.
- Ability to effectively communicate and relate to a diverse population in a multicultural environment.
- Proven ability to engage and support individuals with mental health diagnoses using empathy, professionalism, and trauma-informed practices.
- Bilingual skills are a plus!
- MUST have a valid NJ Driver's License with acceptable driving record.
- Lived Experience: CSPNJ prioritizes hiring people who use their own lived experience dealing with mental health/substance use challenges to inspire and support others.
